FTS uses Stripe for secure, EU-compliant payment processing. All billing is managed in the customer portal.

Accessing the billing portal

  1. Click Billing in the sidebar, under Manage — it is shown to organisation admins only
  2. Click Manage subscription → you are redirected to the Stripe customer portal
In the portal, you can:
  • View invoices and payment history
  • Update payment methods
  • Download receipts
  • Change billing address and VAT ID
Save the customer portal URL to your bookmarks for quick access each month.

Payment methods

FTS accepts:
  • Credit/debit cards: Visa, Mastercard, American Express
  • SEPA Direct Debit (EU customers only)
  • Wire transfer (Enterprise only)
You can add multiple payment methods. The primary method is charged on your billing date.

Invoices

Invoices are generated automatically on your billing date and sent to your registered email. You can also:
  1. Log in to the Stripe portal
  2. Select Invoices
  3. Download as PDF or view online
Invoices carry the billing details you entered in Stripe, the billing period and the itemised plan charge. There are no per-member overage fees on Starter or Team — see Overages and seat limits below.

Billing cycle

Your billing cycle depends on when you signed up or last renewed:
  • Monthly: Charged on the same day each month (e.g., Apr 10 → May 10)
  • Annual: Available on all plans; receives a 15% discount versus monthly
Choose monthly or annual when you subscribe under Billing in the sidebar (its own entry under Manage, next to Settings — admins only). To change the cycle on an existing subscription, use Manage subscription there or contact support@ferrufino-tech-solutions.com.

VAT handling

FTS is VAT-compliant in the EU. If you’re a business:
  1. Open Manage subscription and, in the Stripe portal, Billing Address
  2. Enter your VAT ID (EU businesses) or Tax ID (other regions)
  3. Save it in the portal
Once verified, Stripe will:
  • Remove VAT from your invoice (reverse charge applies)
  • Issue a receipt showing your VAT ID
If you’re an individual, standard VAT applies.
Incorrect or missing VAT IDs may result in unexpected charges. Verify your VAT ID in your Stripe portal under Account Settings.

Overages and seat limits

If you exceed your plan’s limits:
  • Team plan: 50 members included. There is no per-member overage charge — upgrade to Enterprise to go beyond the limit
  • Starter plan: 10 members included. No overage charges; upgrade to add members
  • Enterprise: Limits and any overages are set in your contract
Nothing is deleted when you drop below your current usage — existing members, workspaces and cases stay exactly as they are. You simply cannot add new ones until you are back under the limit.

Changing your plan

  1. Click Billing in the sidebar
  2. Click Upgrade or, for a downgrade, Manage subscription and change the plan in the Stripe portal
  3. Review the price Stripe shows you and confirm there
Upgrades take effect immediately; you’ll be charged a prorated amount. Downgrades take effect at the end of your billing cycle; no refund is issued.
Contact sales before downgrading if you’re on Team or Enterprise—we may offer a special rate to stay with us.

Free trial

Your 14-day trial includes all Team plan features. No credit card is required to start. If you don’t upgrade before the trial ends, your organisation falls back to the Starter feature set. Nothing is deleted and nothing becomes read-only: existing cases, evidence, members and workspaces stay in place and stay editable. What stops is the Team-only functionality (semantic search, the AI assistant, OCR, custom taxonomy, analytics), and you cannot add members or workspaces beyond the Starter limits until you upgrade. To activate a paid plan, click Billing in the sidebar and select your tier.

Subscription cancellation

To cancel your subscription:
  1. Go to the Stripe portalSettings
  2. Click Cancel Plan at the bottom
  3. Confirm the cancellation
Your access continues unchanged until the end of the period you have already paid for. After that your organisation falls back to the Starter feature set. Cancelling does not delete anything — cases, evidence, members and workspaces remain and remain editable, and the data export stays available at any time. This is the commitment in section 5 of our terms. Data is only erased if you delete your account, and then within 30 days. Export your data whenever you want a copy of your own. See Data export.
